Managing Spaces

Admins manage all spaces from the Admin Dashboard → Spaces tab. Spechio supports any bookable space — meeting rooms, classrooms, sports courts, fields, event centers, outdoor areas, labs, and more.

Adding a Space

1. Click Add Space in the top right of the Spaces tab
2. Fill in the space details:
   • Name — e.g. Board Room, Court 1, Multipurpose Field A
   • Location / Floor — e.g. 3rd Floor, East Wing, Outdoor Campus
   • Capacity — maximum number of people
   • Space type — Meeting Room, Classroom, Sports Court, Field, Event Center, Outdoor/Courtyard, Lab, Phone Booth/Focus Room, etc.
   • Amenities — check off Projector, Whiteboard, Video Conferencing as applicable
3. Set the space to Active to make it immediately visible to your team
4. Click Save

The space will appear in the Spaces tab and become bookable by all members.

Editing a Space

Click Manage on any space card to open its settings. You can update any field at any time. Changes take effect immediately.

Deactivating a Space (Maintenance)

Deactivating a space hides it from members and prevents new bookings. Use this when a space is temporarily out of service.

1. Click the Active toggle on a space card to switch it to Inactive
2. If the space has upcoming bookings, a warning modal will appear
3. The modal shows all affected bookings so you can reach out to those people
4. You can export the list as CSV to notify affected team members
5. Click Cancel all & deactivate to proceed — all upcoming bookings for that space will be cancelled and affected users will receive cancellation emails

To bring the space back online, toggle it back to Active.

Removing a Space

To permanently remove a space:

1. Click the trash icon on the space card
2. If there are upcoming bookings, you'll see the same conflict modal as deactivation
3. Cancel all affected bookings, then confirm removal

Warning: Removing a space is permanent. All historical booking data for that space will also be deleted. Consider deactivating instead if you may need the space again.

Space Limits by Plan

Your plan determines how many active spaces you can have:

• Starter — up to 10 spaces
• Growth — up to 25 spaces
• Business — unlimited

If you've reached your limit, upgrade your plan or deactivate unused spaces to free up a slot.
